Every month

Your month at a glance

Revenue, attendance and members sit on one screen, next to the previous month. At the top, a few plain sentences point out what stands out, and each section ends with one tip you can act on tomorrow.

  • Revenue, attendance and members against last month
  • What stands out, in a few short sentences
  • A practical tip with every section

Attendance

Which class fills up, and which needs a different slot

For each class and each part of the day you see how full it was and how often someone was on the waitlist. When a class is almost always full, Avana suggests adding a second one beside it.

  • Attendance per class, by day and time
  • Mornings, afternoons and evenings side by side
  • How often the waitlist filled up
New members

See which trial classes turn into regulars

For each trial class and intro offer, you see how many newcomers went on to buy a pack or a membership. People who came but are still undecided get their own short list, and one button sends them a message.

  • How many trial classes become members, per offer
  • A list of who hasn't committed yet
  • A message with one button
Members

Spot who's drifting away before they've gone

A member who used to come regularly and hasn't booked for a few weeks appears in your overview by itself. So does anyone with classes left on a pack that's about to expire. A personal message brings most of them back.

  • Active and new members per month
  • Who hasn't booked for a few weeks
  • Packs about to expire with classes still on them

Reporting questions

What studio owners ask about their numbers

What insights does Avana give me about my studio?

Each month Avana shows your revenue, class attendance, active and new members, how many trial classes became members, who didn't show up and how each instructor's classes are doing, all next to the previous month. A few sentences at the top highlight what stands out, and every section has a tip. Insights are part of Studio Plus and Studio Max.

Can I see in Avana which classes are full and which aren't?

Yes, Avana shows for each class and each part of the day how full it was on average and how often someone was on the waitlist. If a class is nearly always full, you get a tip to add a second one beside it. If a class stays empty, Avana suggests trying another time.

How do I see how many trial classes turn into regular members?

Avana counts, for each trial class and intro offer, how many newcomers went on to buy a class pack or membership. Anyone who came but hasn't bought anything yet appears on a short list, and one button sends them a message. It's part of Insights, in Studio Plus and Studio Max.

Can I export my revenue from Avana to Excel for my accountant?

Yes, you can download your revenue for a day, week, month or your own date range as an Excel file, with payments, classes and instructors on separate tabs. Booking fees are listed apart and never counted as your revenue. This works on every plan.

What's in Avana's reports?

The reports look back over the last twelve months: how many members stay and leave, what a member is worth on average, which hours on which weekdays are busiest and which packages sell best. Each one downloads as a file for Excel. The reports are part of Studio Max.

Can my accountant log in to Avana themselves?

Yes, on Studio Max you can give your accountant their own login with the Accountant role. They then see your payments, insights and your instructors' hours and can export on their own, but they don't see your schedule. On the other plans you download the file yourself and send it on.

Can't see your question? Just ask us. We'll help you set up your timetable, packs and members for free.

More about reports and insights

Which numbers should a studio owner keep an eye on?

Avana is studio reporting software that keeps track of your revenue, class attendance and members by itself, and shows each month what stands out. Plenty of Pilates, yoga and bootcamp owners run their studio on gut feeling. That works well at the start, because you know every member. Once you have more classes and more instructors, things slip past: a class slowly emptying, a member quietly staying away, a trial class that never produces a regular. A handful of numbers, checked monthly, tell you what instinct misses.

Attendance: how full are your classes?

Attendance shows how many of your spots were actually filled. The average across your whole schedule hides the differences. The useful question is which class on which day fills up, and which keeps running half empty. A class that's nearly always full with a waitlist is a sign to add a second one. A class that stays quiet for months deserves a different time or a different format.

Avana shows attendance per class, by day and time, and per part of the day. You also see how often someone was on the waitlist. So you decide based on what really happened, and move things on your class schedule where it makes a difference.

Revenue: what came in, and from what?

Revenue is more than one figure a month. Look at where it comes from: drop-ins, class packs, memberships or trial classes. A studio that earns a lot from drop-ins has less certainty than one with steady memberships. If many members pay per class, a pack with a few more classes on it is often a sensible next step, for them and for you.

Avana counts revenue on the day of payment, without the booking fees members pay to Avana, so your revenue matches what reaches your bank. You also see what your running memberships bring in each month, and on Studio Max you can see at any moment above your payments what has come in, online and at the desk.

From trial class to regular member

A trial class costs you a spot in the room. It only pays off if the person stays. So count how many trial classes lead to a pack or a membership. If that share is low, look at what happens after the class. Does the newcomer leave with an offer, and do they hear from you again?

Avana tracks, for each trial class and intro offer, how many newcomers became members. Anyone who came and is still undecided goes on a list, and one button sends them a message. In a reformer studio with pricey spots, you learn exactly which offer works. At a bootcamp or HYROX gym, you see whether an intro week produces more regulars than a single trial session.

Members who stay, and members who leave

Most studios lose members quietly. Nobody cancels; someone simply stops coming. The sooner you notice, the easier it is to win them back. A member who used to come regularly and hasn't booked for a few weeks usually responds well to a personal message. A pack about to expire with classes still on it is another good reason to get in touch.

Over the longer term you want to know how many new members are still coming after a few months. That's retention. With the reports in Studio Max, you see for each starting month how many members are still active after one, three and six months, and how many leave each month. That shows whether a new approach really produces more loyal members. Everything about an individual member is in your member management.

What each type of studio gets out of it

A yoga studio with many styles mostly watches attendance per class and per teacher: which style draws people, and at what time? A Pilates studio with small groups keeps an eye on the waitlist, because that's where room for an extra class hides. A gym with lots of memberships looks at retention and failed payments. A dance studio checks how many spots are left per group, and a personal trainer mainly wants to know what a regular client is worth over a year.

If you work with several instructors, look per instructor too. If one person's classes are much fuller than another's, a different time slot or teaching together can already help. Avana shows this per instructor once they've taught a few classes, so an average actually means something.

Your numbers for your accountant

Your accountant wants revenue per period, built up from individual payments. Piecing it together from bank statements afterwards is slow and easy to get wrong, especially when payouts bundle several payments into one amount.

In Avana you download revenue for a day, week, month or your own range as an Excel file, with payments, classes and instructors on separate tabs. The file is checked against your payments in Avana, so it always adds up. Every payment also gets an invoice automatically; read more about online payments and invoices. Avana starts at £17.99 a month, and you can compare the plans on this page.

What studio owners search for about their numbers

How do you work out class attendance for a yoga or Pilates studio?

Attendance is the share of your spots that were actually filled, per class or over a month. Avana calculates it for you per class, by day and time and per part of the day, and shows how often someone was on the waitlist. So you see straight away which class deserves a second slot. Insights are in Studio Plus and Studio Max.

Which studio booking software has good reporting?

Look for reports that tell you what to do: attendance per class, trial class to member, who is drifting away and revenue by type. Avana has that in Studio Plus, with a tip each month, and Studio Max adds reports on retention and value per member over twelve months. Avana starts at £17.99 a month, VAT included, with no commission.

How do I track how many trial classes become regular members?

Count, per trial class, how many newcomers go on to buy a pack or membership. Avana does that automatically per trial class and intro offer, and puts anyone who came but hasn't bought anything on a separate list. One button sends them a message.

How do I export my studio's revenue to Excel?

In Avana you choose a day, week, month or your own range under your payments and download your revenue as Excel. Payments, classes and instructors each get their own tab, and booking fees are listed separately. It's on every plan.
