  • Emailed automatically with the PDF attached

  • No part months, so no sums to do

Corporate wellness questions

What studio owners ask about corporate memberships

How do I let an employer pay for their staff's memberships in Avana?

In Avana you add the company on the Corporate tab, with the details for the invoice. Then you link each employee to a membership. The member can book straight away, and the company receives one invoice a month.

When does Avana send the invoice to the company?

On the first of every month, Avana creates one invoice per company for the month before, with a line for each member. It's emailed with the PDF to the company's invoice address. The company then pays it by bank transfer within fourteen days.

Does an employee pay anything themselves?

No, a member on a corporate membership pays nothing in Avana. The membership is ready straight away, and they book on your studio page and in the app like every other member. Canceling and the waitlist work exactly the same.

What happens in Avana when an employee leaves?

When you remove a member from a company, their membership runs until the end of the month. That month still appears on the invoice, and the next one doesn't. There are no part months and no credit notes to sort out.

Can I put a purchase order number on a company's invoice?

Yes, you can give each company a reference, such as a PO number. It appears on every invoice and in the email to the company. You can also add a contact person for the company.

Which Avana plan includes corporate memberships?

Corporate memberships are part of Studio Max, Avana's largest plan for studios. It also includes reports, the live revenue view and the Manager and Accountant roles. You can try Avana free for 7 days before you pay anything.

More about corporate wellness

Offering corporate wellness as a studio: how corporate memberships work

Avana is studio software where an employer pays for their team's memberships and receives one invoice from you every month. Plenty of businesses now offer a wellness perk, and a yoga, Pilates or bootcamp studio nearby is a natural place for it. For you, a company means a group of members in one go, with income arriving every month. The fiddly part is usually the admin: who belongs to which company, and what should go on this month's invoice?

What is a corporate membership at a studio?

With a corporate membership, an employer pays for an employee's membership. The employee trains with you as an ordinary member, with a spot on your schedule and the same cancellation rules. The difference is who pays: the company, with one invoice covering all its people.

That's different from a platform like ClassPass or Wellhub, where a member arrives through a third party and you're paid per visit. With a corporate membership you agree the deal directly with the company, at your own price. Read how studio memberships work as well.

How to find companies willing to pay

Start close to home. Look at which members already work for a larger employer nearby, and ask whether that employer has a wellness budget. An enthusiastic member often opens the door to HR. Offices, clinics and schools on your street are a sensible place to begin too.

Make it easy for a company: one membership per employee, one invoice per month, and they can stop at the end of any month. A trial class for the whole team helps get the first employees through the door. See how a trial class and intro offer work.

What to agree with an employer

Agree upfront which membership each employee gets, unlimited or a set number of classes a month, and what it costs per month. Settle how invoicing works: monthly in arrears, a line per employee, payable within a fixed term. Ask whether the company needs a purchase order number or reference on the invoice, because many accounts teams won't pay without one.

Also agree what happens when someone joins or leaves. The simplest rule: anyone linked during a month counts for that whole month, and leaving takes effect at the end of the month. Then the invoice is always right and you never have to work out a refund.

What the employer needs from you

Most companies have their own way of handling a perk like this, and that's between them and their accountant. You don't need to arrange anything on that side. What they need from you is a tidy invoice with your details, the period it covers and, for each employee, the membership.

Avana takes care of that. Each invoice has its own number, a line per member and the company's reference, and goes to the email address they gave you for invoices.

Corporate memberships by type of studio

A yoga studio or Pilates studio suits offices well: calm classes before or after work, for stress and stiff backs. A bootcamp or gym attracts teams that want to train together. For a physical therapy clinic with group classes it's more often about recovery and a healthy posture at work.

It works the same everywhere: the company pays, the employee books, and you see per company who is training.

What to look for in a system for corporate members

A corporate member should feel like any other member. They book themselves, see the membership in the app and get the same confirmations. Behind the scenes, the system has to know which member belongs to which company and turn that into an invoice every month.

Watch what happens when your prices change. In Avana the price per employee is fixed when you link them, so a company never gets an unexpectedly higher invoice. And a member can never belong to two companies at once, so nothing is billed twice.

What Avana does for you

In Avana you add the company on the Corporate tab and link the employees to a membership. On the first of the month one invoice per company goes to its accounts team with the PDF, and the invoice also sits with your other invoices. When the money arrives, you mark it as paid. Corporate memberships are part of Studio Max. See the prices on this page, or try it free for 7 days first.

What studio owners search for about corporate wellness

How does a studio offer corporate wellness?

You agree a membership per employee and a monthly invoice with an employer. In Avana you add the company, link the employees to a membership, and one invoice goes to the company every month automatically. It's part of Studio Max.

How do you invoice an employer for their staff's memberships?

The simplest way is one invoice a month in arrears, with a line per employee. Avana creates that invoice on the first of the month, emails it with the PDF to the company and adds the company's reference or PO number.

Can an employer pay for an employee's yoga membership?

Yes, with a corporate membership the employer pays and the employee trains as an ordinary member. In Avana the member pays nothing, books on your studio page and in the app, and the company gets one invoice a month for all its people.

What's the difference between a corporate membership and ClassPass?

With ClassPass, a member comes through a platform and you're paid per visit. With a corporate membership you agree the deal with the company yourself, at your own price. Avana supports both: corporate memberships on Studio Max, and on Studio Plus you can hold spots for platform bookings, which you add by hand or import from the platform's export.
