Your colleague knows where the next client is
Every appointment on your colleague's phone shows the room, so nobody needs to ask between treatments where to go.

Avana records the treatment room on every appointment, so nobody walks into an occupied room and colleagues know where the next client goes. Treatment rooms come with Business Max, for salons where several people work across several rooms.

In Avana you set up your rooms once. After that, you just pick the room for each appointment.
In your settings, add a room and give it a name. With more than one location, you do this per location.
When you put an appointment in your calendar, choose the room the client will be in. You only see that location's rooms.
Online, clients choose a service and a time. You add which room it'll be, because you know which one is ready.
If two of you work at the same time, each has their own client. Put a second appointment in an occupied room and Avana tells you someone's already there.
Keeping track of rooms in your head or on a note, compared with Avana.
| In your head or on a note | With Avana | |
|---|---|---|
| Where's your client? | Checking the doors | It's on the appointment |
| Your colleague starts | Asking which room is free | The room is on their phone |
| Two clients at 14:00 | Hoping you've got it right | Avana tells you if a room is taken |
| A second location | Another note | Rooms per location |
| Your client | Finds out on arrival | Reads it in the confirmation |
Avana's treatment rooms are kept simple: a name per room and one room per appointment.
A room you remove doesn't disappear from existing appointments: they keep the room name.
Three parts that run better when you know who's in which room.
Every appointment on your colleague's phone shows the room, so nobody needs to ask between treatments where to go.
Rooms are set per location, so for an appointment at one salon you never accidentally choose a room from the other.
Add the room before the confirmation goes out and it's in the email, which helps in a building with several doors.

In Avana's settings, add a room, type a name and save; with more than one location you add rooms per location. Then, for each appointment in your calendar, choose the right room.
No. Online, clients choose a service and a time, and you add the room in your calendar. That way clients don't need to know anything about your layout; more on the booking page.
No. In Avana, when several of you work at the same time with several clients at once switched on, each room has one client at a time, and Avana warns you if you put a second appointment in an occupied room. With it switched off, your location takes one appointment at a time anyway.
A solo salon usually doesn't need them. If you work alone in one room, there's nothing to divide. Treatment rooms help when two or more of you work across several rooms, or when clients need to know which door to use.
In Avana, existing appointments keep the room name, but new appointments can't use that room. To rename a room, add a new one and remove the old one.
When a client pays online, a small service fee is part of the price they see from the very first screen: 3% of the booking, at least $1.99 and at most $2.79. You pay nothing on your takings, because Avana charges no commission. That small amount from the client is what lets us pay you out in full, so the whole treatment price stays with you.

Avana is a booking system where you record the treatment room on every appointment. You set up your rooms once, per location, with the names you already use. When you add an appointment to your calendar you choose the room, and it shows on the appointment, on your colleague's phone and in the confirmation email. Clients booking online choose a service and a time; you add the room. When several of you work at once, each room has one client at a time. Treatment rooms are part of Avana Business Max, together with room for you and two colleagues: $70.99 a month, which is $2.33 a day.
If you work in a beauty salon with two treatment rooms, a massage practice with a separate room or a salon where a colleague rents a room, you want to know for every appointment where the client is. With treatment room scheduling in Avana you add the room to the appointment and see in your calendar which room is taken. If you work alone in one room, you don't need this.
You set up your rooms once, per location, with the names you use. Online, clients choose a service and a time on your booking page and you add the room. When you work alongside a colleague, each room has one client at a time and the room shows on your colleague's phone.
If the room is set before the confirmation goes out, the client reads it in the email, and the reminder follows the day before. After the treatment, the aftercare email sends your tips. Treatment rooms are part of Business Max, with room for you and two colleagues; see the pricing page for the cost.
Room scheduling means recording which room each appointment is in, so you and your colleague know which door is busy and where the next client can go. You need it once several people treat clients at the same time in a building with several rooms, or when a treatment needs a particular room. A hair salon with three chairs in one space usually doesn't; there, the team member is enough. A beauty salon with a facial room and a body room does, as does a massage practice or a salon letting a room to a foot health practitioner.
In Avana you create rooms in your settings, per location, with just a name. On each appointment you add the room, and it shows in your calendar and on the appointment panel. Clients don't choose a room when booking online; you do that afterwards. If you're unsure, think about your busiest day: if you're walking round to see which door is shut, or your colleague keeps asking where to go, it helps.
Link every appointment to a team member and a room, and let your system show the clashes. Two people and two rooms sounds simple until a facial overruns and your colleague is at the same door with the next client, or until you have three rooms and only one has a massage table. Name each room after what's in it, such as Massage room or Pedicure room, and you'll naturally pick the right one.
In Avana you first switch on several clients at once in your booking rules, so you and your colleague can each have a client at the same time. Then you choose the room for each appointment, and if you put two clients in the same room by mistake, Avana tells you someone's already there. Plan the time between clients for tidying and changing the couch with buffer time.
No, and it's better that they don't. Clients don't know which room has the massage table or where the pedicure chair is, and they don't need to. Making them choose adds a step to booking and more chance they'll give up halfway; every unnecessary step costs bookings.
In Avana clients choose a service, perhaps who with, and a time. Then you open the appointment and add the room, ideally before the confirmation goes out so it's in the email. For a new client in a building with several doors, that's helpful: they know where to go when they arrive. More on the booking page.
