Salon invoices and receipts, done after every appointment

Avana creates an invoice automatically after every completed appointment, numbered in order and with sales tax if you charge it. Invoices are in every Avana plan, and at the end of the month you hand your bookkeeper one download.

Why it helps

Your paperwork keeps pace with your day

Typing up invoices after a long day is the job nobody wants. Avana does it the moment an appointment ends.

Your evenings stay yours

No Sunday with a pile of receipts and a calculator. The invoice appears by itself within an hour of the appointment ending.

Tax lines without the maths

If you charge sales tax, each line gets the rate you set and the totals are worked out for you. Your bookkeeper gets exactly what they ask for.

Nothing gets lost

Find an invoice from years back by the client's name or the invoice number, across every month at once.

How invoices are made

From appointment to bookkeeper with no extra step

Within an hour of an appointment ending, Avana prepares the invoice from what was booked, added and paid.

After the appointment

The invoice is there before you think of it

As soon as an appointment is over, Avana creates the invoice with every line on it: the service, any add-ons, products and the tax. If the client wants a copy, you send it in one tap.

  • Services, add-ons and products on one invoice
  • Numbered in sequence with no gaps
  • Sent to the client as a PDF in one tap
Finding it again

Any invoice, in seconds

Type the client's name or the invoice number and Avana searches every month at once. No folders sorted by year, no scrolling back through old emails.

  • Search by name or invoice number
  • Across your whole history
  • Download or resend it straight away
For your bookkeeper

A month of invoices in one download

Each month you download every invoice as a PDF, with a spreadsheet summary alongside. With Business Plus, your reports also show takings and tax by week, month or year.

  • A spreadsheet summary for the month

Questions

Invoices and receipts in Avana

Can my salon booking system create invoices automatically?

Yes, Avana creates one after every completed appointment. Within an hour of an appointment ending, a draft invoice appears with every line: the service, any add-ons, products and the tax. At the end of the day it becomes final and gets its number. Avana doesn't email it automatically; if the client wants it, you send it as a PDF in one tap.

Can I add sales tax to my invoices?

Yes. You set a default tax rate for your salon, and a service or product that's taxed differently can have its own rate. Many states don't tax salon services but do tax retail products, so check with your bookkeeper once and set the rates to match.

What business details appear on the invoice?

You enter your business details once, and from then on your business name and address appear on every invoice. You can add a tax ID or registration number if you'd like it shown, plus your logo and contact details.

How do I find an old invoice?

In Avana, type the client's name or the invoice number into the search bar. Avana searches across every month at once, so you don't need to remember when it was.

Can I correct an invoice if something's wrong?

Yes, Avana corrects an invoice with a credit note. It reverses the original invoice, after which you send the correct version. Your numbering carries on and your figures are right again.

Can I send everything to my bookkeeper?

Yes. Choose the month in your invoices and tap download: you get one zip file with every invoice and credit note as a PDF, plus a spreadsheet summary. With Business Plus, your reports also give you takings and tax for any week, month or year.

Can I track my costs in Avana too?

Yes, Avana tracks costs from Business Plus. You log an expense with the amount, the tax rate and a photo or PDF of the receipt, and Avana works out the tax. You see each month's takings, costs and what's left, and you can download the month's costs as a list. Cash taken from the drawer comes out of your cash book automatically.

Are invoices included in every Avana plan?

Yes. Invoices and the monthly download are in every plan, starting at $20.99 a month, tax included. To sell products as well, you need Business Plus. The pricing page shows what each plan includes.

Is there a service fee, and who pays it?

When a client pays online, a small service fee is part of the price they see from the very first screen: 3% of the booking, at least $1.99 and at most $2.79. You pay nothing on your takings, because Avana charges no commission. That small amount from the client is what lets us pay you out in full, so the whole treatment price stays with you.

The short answer

How do invoices work in Avana?

Avana is salon software that creates an invoice automatically after every completed appointment, with the service, any add-ons and products, sales tax if you charge it, and the next number in your sequence. Your business details appear on every invoice and clients can get a PDF copy in one tap. Each month you download every invoice plus a spreadsheet summary for your bookkeeper. Invoices are included in every plan. For a solo salon, Avana Business costs $20.99 a month, tax included, which is $0.69 a day.

Invoices for salons

Automatic salon invoices, without the late nights

Nobody became a hairdresser or esthetician to type up invoices. With automatic invoices for your salon, it happens while you work: once an appointment is over, the invoice is there with the service, the add-ons, any products and the tax line.

The monthly download gives your bookkeeper every invoice plus a spreadsheet summary. If a client paid a deposit up front and the rest at the salon, both amounts sit on the same invoice. And if something is wrong, a credit note fixes it while your numbering carries on.

If you want to look further than the paperwork, the reports in Business Plus show where your takings come from. The pricing page lays out which plan has what.

What is automatic invoicing for a salon?

Automatic invoicing means an invoice is ready after every appointment without you typing anything. It suits any self-employed hairdresser, nail tech, esthetician, barber or massage therapist who keeps their own books. Individual clients rarely ask for one, but your bookkeeper and the tax authorities do expect your takings to be complete and in order.

In Avana, within an hour of an appointment ending, a draft appears with the services, add-ons, products and tax. At the end of the day the draft becomes final with a number from your own sequence, such as 2026-0001. Anything you add to the appointment before then goes on the same invoice. Canceled appointments don't get an invoice, and you can always create a one-off invoice yourself.

How do you set up invoices for your salon?

Start with your business details, because without them every invoice stays a draft. Open the invoice settings and fill in your business name and address, plus your logo, email address and phone number if you like. Anything missing is flagged so you can see what's left to do.

In the same settings you choose when an invoice becomes final: at the end of the day, which we recommend, or a fixed number of hours after the appointment. You can also write your own header, client note and footer, for example your payment terms. If you'd rather not have automatic invoices, switch them off and create them yourself.

Do salons charge sales tax?

It depends on your state and on what you sell. Many states don't tax personal services such as haircuts or facials, while retail products like shampoo usually are taxed. Your bookkeeper or your state's revenue department can tell you which rates apply to you.

Avana lets you match that: set a default rate for your salon (zero if your services aren't taxed) and give products or particular services their own rate. The rate then appears on each invoice line, and the monthly summary shows the totals. Service fees clients pay for online booking aren't part of your invoice, because they aren't your takings.

How do you get your invoices to your bookkeeper?

You download a whole month at once. Open your invoices, choose the month and tap the download icon. You get one zip with every invoice and credit note as a PDF, plus a spreadsheet summary. Send that file on, or put it in the shared folder you already use.

With Business Plus you can also see takings and tax by week, month or year in your reports, and log your costs with the receipt attached, so you can see each month what's left over.

What if there's a mistake on an invoice?

A draft you can simply edit; a final invoice you put right with a credit note. Choose to correct it and Avana creates a new version: the old invoice stays, is reversed, and the new one gets its own number. If the whole invoice shouldn't exist, you can credit it in full. Either way, your numbering has no gaps.

If you cancel a paid appointment that already had a final invoice, Avana creates the credit note for you. If a client wants an invoice in their company's name, you mark them as a business client and add the company name and address. Unpaid invoices are grouped together as outstanding, oldest first.
